Production Administrative Assistant
Reports to: VP Production
The Production Assistant will seek to support all areas of the Production Division: Production, Facilities/Maintenance, and Safety. The support of the Production Division will include maintaining day-to-day reporting, assist in special projects, coordinate schedules, and ensure timely response to commitments. At times, this position will support other departments including, but not limited to, engineering assistant backup based upon specific duties and responsibilities. The Production Assistant will seek to be a team player that is self-motivated to learn and actively contribute to the success the Therma-Tron-X.
Support the creation/updating of Production Hours Sheet on a weekly basis
Update draw-list files for fabrication and production needs
Support tours as needed of production environment
Support MS Project Updates
Assist schedule creation for internal projects/jobs
Maintains updates all project job schedules
Provides accountability to obtain regular schedule updates
Close jobs in the shop within MRP System
Printing and application of decals/labels on vinyl printer for production needs (i.e. ACC Labels, Burner Panels, etc.)
Setup meetings and attend/support meeting by taking minutes/notes
General support of MS Office Applications for production team
Support data entry in multiple document database locations
Update Production Meeting Notes with notes from various sources
Works collaboratively across multiple departments/divisions regularly
Supports the ongoing needs of installation materials:
Develops forecast of installation materials (i.e. road boxes)
Solicits feedback for continuous improvement
Coordinate logistics/transportation to field
Maintains Overstock Report
Attend the monthly Engineering Assistants Meeting
Update job schedules to support Project Engineers
Create and update Sales Schedule for VP Engineering
Provides backup support for printing valve tags/labels
Backup all responsibilities of Engineering Assistant - when Engineering Assistant is absent.
Performs other duties as assigned.
Qualifications and Education Requirements
High School Diploma required, Associate’s Degree preferred.
Experience as an office assistant or in related field.
MS Office Suite experience.
Have a valid driver license.
Ability to write clearly and help with word processing when necessary.
Warm personality with strong communication skills.
Ability to work well under limited supervision.
Team player with willingness to work across multiple disciplines and departments.
